Job Summary:

The BerbeeWalsh Department of Emergency Medicine at the University of Wisconsin School of Medicine and Public Health seeks an innovative and detail-oriented individual to work closely with the Department Chair, Vice Chair, and Assistant Department Administrator to advance and manage faculty appointment, onboarding, and promotions as well as faculty development activities.

This position is an exciting opportunity for this individual to use their strong project management, communications, and writing skills to advise and support faculty through the UW promotions process by understanding and following UW appointment and promotion guidelines; developing and refining departmental policies and procedures; and crafting and revising each faculty member's promotion packet.

Additional and related roles will include assisting leaders onboard new faculty members to the departmental clinical, research, teaching, and service missions and build up departmental faculty development activities.

Responsibilities: Provides assistance to schools/colleges/divisions/units on policy and practice interpretations and guidelines for faculty appointments and promotions. Schedules and maintains promotion/appointment track activities through daily interaction with faculty, staff, and committees as appropriate and in compliance with policies and guidelines.
  • 20% Serves as a resource regarding preparation of promotion materials, interpretation of promotional guidelines, and other questions regarding process
  • 20% Assists candidates in developing appropriate required documentation for promotions and appointment changes, and makes recommendations for revisions
  • 15% Serves as a liaison between faculty, staff, and committees to ensure proper guidelines are followed
  • 15% Analyzes promotional requests and drafts memos for formal approval to appropriate faculty, committees, and/or staff
  • 10% Staffs faculty promotion committees and directs the member appointment process
  • 10% Assists with onboarding new faculty members to the department missions.
  • 10% Assists with building up faculty development initiatives and programming within emergency medicine

Bachelor's Degree


1 year of professional experience in project or program management.

1 year of experience providing trainee or faculty development support.
1 year of experience with independent writing and editing strongly preferred.
Microsoft Office Suite experience strongly preferred.

Full or Part Time: 80% - 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Additional Information:

The successful candidate must have excellent writing skills (demonstrated success in writing persuasive documents), be detail-oriented, organized and have a strong interest in relationship-building and customer service.

Candidates must demonstrate experience working in a collaborative environment and providing project or process support to advance work for a group of stakeholders. Candidates should also demonstrate skill in creating efficiencies or process improvements in their work.
