Job Summary: |
The Administrative Assistant works with, and provides support to, the academic associate deans and institute directors within the Division of Extension. The position functions in a fast-paced, multi-faceted, respectful office. It offers a great deal of day-to-day variety, including activities related to logistics support, communication, office operation, and point-of-contact support. The ideal candidate is adept at building and maintaining effective working relationships with leadership as well as collaborating with administrative colleagues and operations offices. The Administrative Assistant fills an essential role within the Division of Extension in supporting effective programming and achieving the Extension Mission to connect the people of Wisconsin where they live and work to UW-Madison's research and resources. This full-time, dynamic position reports directly to the academic associate deans for the Division of Extension.

Responsibilities: |
Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
- 30% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- 10% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
- 10% Prepares and audits complex records, edits documents, and reviews work done by others
- 20% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
- 20% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- 10% Conducts administrative functions that support the academic associate dean and institute director roles and related organizational tasks

Qualifications: |
Required: -Experience providing administrative support for a team of professionals -Experience with standard office software programs such as document editors, spreadsheet software, and email platforms -Evidence of ability to communicate ideas effectively orally and in writing -Strong organization skills and attention to details -Evidence of effectively working independently and in a team environment -Ability to interact and work with a range of individuals with a high-level of professionalism, flexibility, judgement and tact
Preferred: -Capacity in a wide range of communication tools and technical platforms. Including WordPress -Event and conference planning skills -Ability and desire to learn and manage new technology platforms
